1. Title: Executive Assistant, Senior
a. Status: Full-Time (Salary)
b. Schedule: 0800hrs – 1630hrs, M-F

2. Position Description:
a. This position will coordinate administrative services, with heavy focus on Microsoft (MS) Office, high quality external telecommunications, contribute new knowledge to programs and projects, apply knowledge of policies, procedures and practical application of the general and specific technical aspects of the job to complete varied and complex work. This On-Site position will be located in the Reception Area of a Department of Defense (DoD) security locked facility; no remote or hybrid working environment is possible for this position at this time.

3. Key Duties and Roles:
a. Perform a variety of routine tasks and heavy MS Office administrative functions to facilitate the executive administrative functions, often involving work of a confidential nature
b. Draft, prepare, review, proofread, and/or support MS Office products according to established company guidelines and best practices
c. Coordinate, manage, and maintain several Shared Mailbox emails and calendars
d. Coordinate and supply supporting materials and/or meeting minutes for all requested meetings
e. Oversee and follow guidelines for records management to maintain audit compliance
f. Work independently within established procedures and practices and lead daily tasks
g. Greet all Front Door entrances and exits in a professional manner and follow established security protocols to include Foreign and Domestic Visitor sign-in procedures
h. Answer all routine communication types tactfully and professionally, following up where needed, and handle within eight (8) business hours, or four (4) business hours if Urgent request
i. Maintain basic order of the Reception Area and/or Guest Areas
j. Plan, coordinate, and support travel expense reporting
k. Perform other general administrative duties, as requested

4. Basic Qualifications:
a. Five (5)+ years’ experience with administrative and operations support
b. High level of demonstrated experience using Microsoft Office Suite
c. High level of demonstrated experience using One Drive
d. Possess excellent verbal and written communication skills
e. Possess quality time management and organizational skills
f. Ability to work independently and in a team
g. High frequency of computer keyboarding and technology utilization
h. High School diploma or General Education Development (GED)
i. Ability to lift thirty (30) pounds (ie. printer paper box, re-arrange wheeled chairs in Conference Rooms, set up/break down special events)

5. Preferred Qualifications
a. Microsoft Office Specialist (MOS) Expert or Master Certification
b. Active Secret Clearance
c. Ten (10)+ plus years of demonstrated clerical or administrative experience
d. Secretarial or administrative work experience within the Department of Defense (DoD) or Telecommunications Industry
e. Associate or Bachelor’s degree in Business Administration, or similar

6. Travel: Minimal; local travel less than five (5)% of the year

7. Clearance: Applicants selected will be subject to a background check and/or security investigation and may need to meet eligibility requirements for access to classified information: No clearance required, but preferred
